1. Safety Policy Statement

On Target Web Design LTD is committed to ensuring, so far as is reasonably practicable, the safety, health and welfare at work of all employees, contractors, clients and visitors who may be affected by our activities.

We will take all reasonable steps to:

  • Provide and maintain a safe workplace and safe systems of work.
  • Identify hazards, assess risks, and implement appropriate control measures.
  • Provide safe equipment and ensure it is used correctly.
  • Provide information, instruction, training and supervision as required.
  • Consult with employees on health and safety matters.
  • Investigate incidents and take corrective actions to prevent recurrence.

This Safety Statement is reviewed at least annually and whenever there are significant changes to work activities, premises, staffing, equipment, or following an incident.

2. Scope of This Safety Statement

This Safety Statement applies to office-based and remote work associated with:

  • Web design and development
  • IT and web hosting administration
  • General office work and client communications
  • Occasional travel to client premises (as required)

Note: Cyber and information security risks are managed separately under the company’s Information Security and Data Protection policies, except where they create a direct physical safety risk.

3. Responsibilities

3.1 Employer / Management Responsibilities

  • Provide a safe working environment, safe equipment and safe systems of work.
  • Carry out risk assessments and implement control measures.
  • Provide instruction, training, and supervision appropriate to the work.
  • Maintain emergency procedures (fire and first aid) and ensure staff are aware of them.
  • Maintain an incident reporting and investigation process.
  • Consult with employees and address safety concerns promptly.

3.2 Employee Responsibilities

  • Take reasonable care of their own safety and that of others.
  • Follow safety procedures and safe working practices.
  • Use equipment correctly and report defects or hazards immediately.
  • Report accidents, incidents, and near-misses as soon as possible.
  • Co-operate with any safety training, instruction, or investigations.

3.3 Contractors / Visitors

  • Contractors must carry out work safely and follow site rules and instructions.
  • Visitors must follow instructions from staff and must not access restricted areas without permission.

4. Consultation and Communication

Employees are consulted on health and safety matters and encouraged to:

  • Report hazards, incidents, or near-misses
  • Suggest improvements to safety practices
  • Raise concerns about work-related stress or workload

5. Hazard Identification and Risk Assessments

The following table summarises key hazards associated with typical office and remote work and the control measures implemented. Risk assessments are reviewed annually or following significant change or an incident.

6. Display Screen Equipment (DSE) Arrangements

  • Employees are encouraged to take short, regular breaks from screen work.
  • Workstations should be adjustable to support neutral posture.
  • Any discomfort should be reported early so adjustments can be made.
  • Lighting and glare should be managed to reduce eye strain.

7. First Aid

First aid arrangements are proportionate to the size and nature of the workplace.

8. Fire and Emergency Procedures

In the event of fire or emergency:

  1. Raise the alarm and call 112 / 999 if required.
  2. Evacuate immediately via the nearest safe exit.
  3. Do not re-enter the premises until instructed by emergency services or management.

9. Incident Reporting and Investigation

All accidents, incidents, and near-misses must be reported to management as soon as possible. An incident log will be maintained and incidents will be investigated to prevent recurrence.

Where applicable, reportable incidents will be notified to the Health and Safety Authority (HSA) in line with legal requirements.

10. Training, Information and Supervision

  • Induction for new employees covering basic safety procedures.
  • DSE and ergonomic guidance for screen-based work.
  • Fire safety and evacuation procedure awareness.
  • Task-specific instruction where new equipment or processes are introduced.

11. Monitoring and Review

This Safety Statement will be reviewed:

  • At least annually
  • Following significant workplace or process changes
  • After any incident or near-miss
  • If new hazards are identified
